The Role
Horizon Engage is seeking a Chief of Staff to support the CEO, and work closely with the broader executive team. This is a hands-on, high-trust role at a small and growing company where there is currently no administrative or executive assistant support – you will build out that function in order to streamline day-to-day operations.
The role combines three core areas of responsibility: direct executive support (calendaring, scheduling, correspondence and travel planning for the executive team), external representation (client interactions, some business development operations, and standing in for the CEO in select situations), and office management for our New York headquarters. You will be a trusted right hand to the CEO and a steady operational presence for the firm as a whole.
Key Responsibilities
The Chief of Staff will have primary responsibility for keeping the CEO and executive team organized and effective, and for the smooth day-to-day operation of the New York office, including:
- Executive support: Manage the CEO’s calendar, scheduling, correspondence and travel arrangements, and provide administrative support to other members of the executive team as needed.
- Meeting and communications management: Prepare agendas and briefing materials ahead of key meetings, take notes and track follow-up items, and help ensure priorities and commitments made by the executive team are carried through.
- External representation: Serve as a professional, polished point of contact for clients and external stakeholders, and represent the CEO or executive team in select external situations and meetings where appropriate.
- Business development support: Provide administrative support to the firm’s business development efforts – coordinating client meetings, maintaining CRM records, and helping prepare proposals and follow-up materials.
- Office management: Own day-to-day operations of the New York office, including vendor and supplier relationships, office supplies and equipment, guest hosting, and general upkeep of a professional, welcoming workspace.
- Cross-team coordination: Act as a connective point across a globally distributed team of roughly 30 people, helping coordinate schedules, projects and communication across offices and time zones.
- Special projects: Take on ad hoc projects and initiatives for the CEO, adapting to the evolving needs of a small and growing company.
Candidate Profile
- Experience: 7+ years in an executive assistant, chief of staff, or office management role, ideally at a small company or fast-moving professional services environment where you wore multiple hats.
- Organizational skills: Exceptional attention to detail and the ability to juggle competing priorities calmly, keeping the executive team organized without needing much oversight.
- Professional presence: Polished written and verbal communication skills, and the comfort and judgment to represent the firm and its executives in front of clients and outside partners.
- Discretion: A strong sense of judgment and confidentiality; comfortable handling sensitive business and client information.
- Adaptability: Genuinely enjoys building processes from scratch and moving fluidly between high-level executive support and hands-on office logistics.
- Global mindset: Comfortable coordinating across time zones and cultures with a globally distributed team.
- Education: Bachelor’s degree or equivalent professional experience.
- Location: Based in New York and able to work from the Horizon Engage office regularly, given the office management component of the role.
